Batch notifications

This article lists all batch notifications available out of the box with TopClass. Each section explains what triggers the notification and describes the variables and logic blocks used within it.

Trigger – Reminder of Activity Enrolment Approval (ILT)

This scheduled notification is sent to approvers who have outstanding ILT enrollment requests. If the Flag is set to Absolute, the notification is sent on a specific date. If set to Relative, it is sent X days after the enrollment request was submitted (for online activities) or X days before the ILT session starts. X is determined by the Relative Days setting.

Variables:

  • Approval Page Link – Link to the approver’s Outstanding Approvals page
  • Days Approval Is Outstanding
  • Enrollee Real Name – Full name of the learner
  • Session End – End date and time of the session
  • Session Start – Start date and time of the session
  • Session Name
  • Instructors – List of assigned instructors
  • Location – In-person session location
  • Object Title – Activity title (longname)
  • Recurring ILT Session – Indicates the session has multiple child sessions
  • Code – Activity identifier (shortname)
  • Home Page Link – Link to the learner’s Learning Center
  • Recipient Login Name – Approver’s username
  • Recipient Real Name – Approver’s full name

Trigger – Reminder of Activity Enrolment Approval (Online)

This scheduled notification is sent to approvers who have outstanding online enrollment requests. Absolute triggers fire on a specific date; Relative triggers fire X days after the enrollment request was submitted.

Variables:

  • Approval Page Link
  • Days Approval is Outstanding
  • Enrollee Real Name
  • Object Title – Activity title
  • Code – Activity identifier
  • Valid Period End Date – End of the learner’s content access
  • Valid Period Start Date – Start of the learner’s content access
  • Home Page Link

  • Recipient Real Name

Logic Blocks:

  • Days Approval is Outstanding

Trigger – Reminder of Activity Enrolment Approval (Conference)

This scheduled notification is sent to approvers who have outstanding conference enrollment requests. Absolute triggers fire on a specific date; Relative triggers fire X days after submission.

Variables:

  • Location
  • Object Title – Conference title
  • Session End – Conference end date
  • Session Start – Conference start date
  • Pick Sessions After Enrol – Indicates whether users can enroll in sessions after conference enrollment
  • Virtual ILT – Indicates whether the conference is virtual
  • Virtual Conference Welcome Page
  • Home Page Link
  • Recipient Login Name
  • Recipient Real Name

Trigger – Certification Program Has Expired

This scheduled notification is sent to learners whose Certification Program has expired. Absolute triggers fire on a fixed date; Relative triggers fire X days after expiry.

Variables:

  • Certification Path Title
  • Certification Program Expiry Date
  • Certification Programs Link
  • Object Title – Program title
  • Code – Program identifier
  • Home Page Link
  • Recipient Login Name
  • Recipient Real Name

Logic Blocks:

  • Certification Program Expiry Date

Trigger – Certification Program is Due to Expire

This scheduled notification is sent to learners whose Certification Program is approaching its expiry date. If set to Relative, it fires X days before the program expires.

Trigger – Activity Post Work is Due (ILT)

This scheduled notification is sent to learners who completed an ILT session but have not yet completed the required post-work. Absolute triggers fire on a fixed date; Relative triggers fire X days after the session ends.

Trigger – Activity Post Work is Due (Conference)

This scheduled notification is sent to learners who completed a conference but have not completed the associated post-work. Absolute triggers fire on a fixed date; Relative triggers fire X days after the conference ends.

Trigger – Activity Pre Work is Due (ILT)

This scheduled notification is sent to learners enrolled in an ILT activity who have not yet completed the required pre-work. If set to Relative, it fires X days before the session start date.

  • Recurring ILT Session – Indicates multiple child sessions
