Real-time notifications for conferences

This article lists the real-time notifications that are available for Conference out of the box with TopClass. The descriptions of what triggers each notification is provided along with an explanation of what each variable and logic block is intended to show.

Trigger – Enrolled in Learning Activity

This is a real-time notification which is fired whenever a learner enrolls in a Conference from the Catalog.

Variables:

  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference
  • Virtual Conference Welcome Page – This is a link to the Virtual Conference welcome page
  • Home Page Link – This is a link to the learners TopClass Learning Center
  • Recipient Login Name – This is the email recipients TopClass username
  • Recipient Real Name – This is the email recipients TopClass first name, middle name and last name

Logic Blocks:

  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Location – This is the session location set for in person sessions
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference
  • Recipient Real Name – This is the email recipients TopClass first name, middle name and last name

Trigger - Added to Learning Activity

This is a real-time notification which is fired whenever a Learner is added to a Conference by someone other than themselves; i.e. they did not self-register.

Variables:

  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference
  • Virtual Conference Welcome Page – This is a link to the Virtual Conference welcome page
  • Home Page Link – This is a link to the learners TopClass Learning Center
  • Recipient Login Name – This is the email recipients TopClass username
  • Recipient Real Name – This is the email recipients TopClass first name, middle name and last name

Logic Blocks:

  • Session End – This is the end date of the conference

Trigger – Removed from Learning Activity

This is a real-time notification which is fired whenever a learner is removed from a Conference. This could happen by means of an administrator doing it, or the learner could cancel themselves.

Variables:

  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference

Trigger - Added to Learning Activity Waitlist

This is a real-time notification which is fired whenever an Administrator add a learner to the waitlist of a session for a Conference.

Variables:

  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference

Trigger – Approval Required for Learning Activity Enrolment

This is a real-time notification which is fired whenever a user enrolls in an Activity from the Catalog which requires approval. The notification is sent to all users who are set up on the Learning Activity Policy Rules tab as approvers.

Variables:

  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference

Trigger – Session Cancelled – Learner Message

This is a real-time notification which is fired whenever a Conference/Session is cancelled. All learners enrolled in the Conference/Session receive the notification.

Trigger – Session Location Change – Learner Message

This is a real-time notification which is fired whenever a Conference/Session has its location changed. All learners enrolled in the Conference/Session receive the notification.

This is a real-time notification which is fired whenever a Conference/Session is rescheduled for a different date/time. All learners enrolled in the Conference/Session receive the notification.

Trigger – Instructor Added to Learning Activity

This is a real-time notification which is fired whenever an Administrator add an instructor to a session of a Conference/Session.

  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference

Trigger – Instructor Removed From Learning Activity

This notification is sent when a user is removed from a Conference/Session as an instructor

Trigger – Transferred to Learning Activity Waitlist

This is a real-time notification which is fired whenever an Administrator transfers a learner to the waitlist of a session of a Conference/Session from another session of the same activity.

Trigger – Promoted from Learning Activity Waitlist

This is a real-time notification which is fired whenever an Administrator promotes a learner from the waitlist of a session of a Conference/Session to the session itself.

Variables:

  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference

Trigger – Enrolled in Learning Activity Pending Approval

This is a real-time notification which is fired whenever a learner enrolls in a Learning Activity from the Catalog, which requires approval. The notification informs the learner that approval is required before they will be enrolled.

Variables:

  • Location – This is the location of the conference if it is in person
  • Object Title – This is the TopClass Activity Title (or longname)
  • Session End – This is the end date of the conference
  • Session Start – This is the start date of the conference
  • Pick Sessions After Enrol – 0 indicates that users are not able to enroll in sessions after enrolment in the conference, 1 indicates that users are able to enroll in sessions after enrollment in the conference
  • Virtual ILT – 0 indicates that this is an in person conference, 1 indicates that this is a virtual conference

Trigger – Enrolment Request in Learning Activity Rejected

This is a real-time notification which is fired whenever a learner enrolls in a Learning Activity from the Catalog, which requires approval. The notification is sent to the learner if the approval request is rejected.

  • Object Title – This is the TopClass Activity Title (or longname)
