Real-time notifications for ILT activities

This article lists the real-time notifications that are available for ILT activities out of the box with TopClass. The descriptions of what triggers each notification is provided along with an explanation of what each variable and logic block is intended to show.

Trigger – Enrolled in Learning Activity

This is a real-time notification which is fired whenever a learner enrolls in a Learning Activity from the Catalog. If the activity requires approval, the email is sent only when the request is approved.

Variables:

  • Instructors – This is a list of the instructors assigned to the Activity
  • Join URL – This is a link to launch the session if it is virtual
  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session
  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session
  • Object Title – This is the TopClass Activity Title (or longname)
  • Code – This is the unique TopClass Identifier (or shortname) of the Activity
  • Home Page Link – This is a link to the learners TopClass Learning Center
  • Recipient Login Name – This is the email recipients TopClass username
  • Recipient Real Name – This is the email recipients TopClass first name, middle name and last name

Logic Blocks:

  • Instructors – This is a list of the instructors assigned to the Activity

Trigger - Added to Learning Activity

This is a real-time notification which is fired whenever a Learner is added to a learning activity by someone other than themselves; i.e. they did not self-register.

Variables:

  • Instructors – This is a list of the instructors assigned to the Activity
  • Join URL – This is a link to launch the session if it is virtual
  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session
  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session
  • Object Title – This is the TopClass Activity Title (or longname)
  • Code – This is the unique TopClass Identifier (or shortname) of the Activity
  • Home Page Link – This is a link to the learners TopClass Learning Center

Trigger – Removed from Learning Activity

This is a real-time notification which is fired whenever a learner is removed from a Learning Activity. This could happen by means of an administrator doing it, or the learner could cancel themselves.

Variables:

  • Cancellation Policy – The cost of the cancellation fee to the learner if one has been set up for the session
  • Instructors – This is a list of the instructors assigned to the Activity
  • Location – This is the session location set for in person sessions
  • Object Title – This is the TopClass Activity Title (or longname)
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session
  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session
  • Code – This is the unique TopClass Identifier (or shortname) of the Activity
  • Home Page Link – This is a link to the learners TopClass Learning Center

Trigger - Added to Learning Activity Waitlist

This is a real-time notification which is fired whenever an Administrator add a learner to the waitlist of a session of an ILT Learning Activity.

Variables:

  • Instructors – This is a list of the instructors assigned to the Activity
  • Object Title – This is the TopClass Activity Title (or longname)
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session
  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session

Trigger – Approval Required for Learning Activity Enrolment

This is a real-time notification which is fired whenever a user enrolls in an Activity from the Catalog which requires approval. The notification is sent to all users who are set up on the Learning Activity Policy Rules tab as approvers.

Variables:

  • Approval Page Link – This is a link to the page in the TopClass where outstanding items for approval are listed
  • Enrollee Real Name – This is the first, middle, and last name of the learner being enrolled in the Activity
  • Instructors – This is a list of the instructors assigned to the Activity
  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session
  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session
  • Object Title – This is the TopClass Activity Title (or longname)
  • Code – This is the unique TopClass Identifier (or shortname) of the Activity

Logic Blocks:

  • Enrollee Real Name – This is the first, middle, and last name of the learner being enrolled in the activity
  • Instructors – This is a list of the instructors assigned to the Activity
  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session
  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session
  • Recipient Real Name – This is the email recipients TopClass first name, middle name and last name

Trigger – Session Cancelled – Learner Message

This is a real-time notification which is fired whenever an ILT Session is cancelled. All learners enrolled in the ILT Session receive the notification.

This is a real-time notification which is fired whenever an ILT Session has its location changed. All instructors enrolled in the ILT Session receive the notification.

Trigger – Session Rescheduled – Learner Message

This is a real-time notification which is fired whenever an ILT Session is rescheduled for a different date/time. All learners enrolled in the ILT Session receive the notification.

Variables:

  • Join URL – This is a link to launch the session if it is virtual
  • Old Session End – This is the old end date and time of the session
  • Old Session Start – This is the old start date and time of the session
  • Instructors – This is a list of the instructors assigned to the Activity
  • Location – This is the session location set for in person sessions
  • Object Title – This is the TopClass Activity Title (or longname)
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions

Trigger – Instructor Added to Learning Activity

This is a real-time notification which is fired whenever an Administrator add an instructor to a session of an ILT Learning Activity.

Variables:

  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions
  • Session End – This is the end date and time of the session

Trigger – Instructor Removed From Learning Activity

This notification is sent when a user is removed from a Conference/Session as an instructor.

Trigger – Transferred to Learning Activity Waitlist

This is a real-time notification which is fired whenever an Administrator transfers a learner to the waitlist of a session of an ILT Learning Activity from another session of the same activity.

Variables:

  • Old Session Name – This is the name of the old session the learner is being transferred from
  • Instructors – This is a list of the instructors assigned to the Activity
  • Object Title – This is the TopClass Activity Title (or longname)
  • Location – This is the session location set for in person sessions

Trigger – Transferred to Learning Activity

This is a real-time notification which is fired whenever an Administrator transfers a learner to a session of a Conference/Session from another session of the same activity.

Trigger – Promoted from Learning Activity Waitlist

This is a real-time notification which is fired whenever an Administrator promotes a learner from the waitlist of a session of an ILT Learning Activity to the session itself.

Variables:

  • Join URL – This is a link to launch the session if it is virtual
  • Instructors – This is a list of the instructors assigned to the Activity
  • Object Title – This is the TopClass Activity Title (or longname)
  • Location – This is the session location set for in person sessions
  • Recurring ILT Session – This is a statement of Recurring Session to let the user know this session may have multiple child sessions

  • Session Start – This is the start date and time of the session
  • Session Name – This is the name of the session

Trigger – Enrolled in Learning Activity Pending Approval

This is a real-time notification which is fired whenever a learner enrolls in a Learning Activity from the Catalog, which requires approval. The notification informs the learner that approval is required before they will be enrolled.

Variables:
