System Settings: Catalog

To update the Catalog settings, do the following:

  1. Go to System Administration > System Settings.
  2. Click the Catalog tab.
  3. Define the following settings:
    • Allow no keywords when searching – Select if users should be allowed to perform advanced searches on the catalog without specifying keywords to search for.
    • Allow User to purchase Bundle with existing enrollments – Select Yes if you want to allow users to purchase Bundles when they already have enrollments in one or more of the activities. The price charged for the Bundle will not change.
    • Allow Searching in Catalog by Session Title – Catalog Keyword search terms will also be applied to Session Titles when deciding what to show in results to users. A switch to turn on/off the keyword term will also appear for each ILT in results. Turning this setting on/off will re-index all offerings.
    • Allow User Self Registration with Duplicate Emails – Allow users to create a user account with the same email address.
    • Allow Users to enroll/purchase items with prerequisites – Allow users to enroll/purchase Online/Blended items with one or more mandatory completion prerequisites. Not applicable for Instructor Led, Conferences, Certification Programs, etc.
    • Allow user Self Registration – Select whether or not users should be allowed to self-register into TopClass.
    • Auto-enroll single session ILTs within blended activities – In a blended activity, users will automatically be enrolled in ILTs that have only one session (with future date or not hidden).
    • Bundle Discounts – Enable Bundle discounts at the Activity level—a percentage discount applied when the Activity is included in a Bundle.
    • External Catalog Free Activities Enrollmet - When enabled alongside External Catalog Redirect, free activities (activities with no price or a price of 0.00) are excluded from the redirect flow. Instead of being sent to the external catalog, students see an Enroll button and are enrolled directly in TopClass. This applies even when the activity has an External ID and External Source configured. Bundles and fee-type items are always excluded from this setting and will continue to redirect regardless of price. Paid activities are unaffected and continue to follow the redirect behavior.
    • Bypass external redirect checks – If enabled, bypasses prerequisites, user already enrolled, capacity, and open enrollment checks.
    • Catalog Enabled – Select if you want to use the TopClass Catalog.
    • Catalog Search Filter pagination counter – Required field. Number of catalog search filter results to show per page.
    • Conference External Catalog Url – Base URL for the external conference; conference ID is appended dynamically.
    • Default Currency – Select the default currency for catalog offerings.
    • Description Included in Search – Include description text in keyword search along with titles.
    • Enable Initial Search Filters – If true, opening the catalog without a keyword search returns all published items. Recommended only for smaller catalogs.
    • Enrollment Capacity Warning – Required. Shows a warning when ILT capacity minus enrollments is equal to or less than this number.
    • Enrollment Waitlist Warning – Required. Shows a warning when ILT waitlist capacity minus enrollments is equal to or less than this number.
    • Open External Catalog in New Window/Tab – Determines whether an external catalog opens in a new tab or the current tab.
    • External Catalog Redirect – Changes ENROLL to PURCHASE and redirects users to an external catalog (such as iMIS) for any item with a cost. Activity-specific URL paths can be configured. This redirect does not apply to free activities (activities with no price or a price of 0.00) when External Catalog Free Activities Enrollment is set to Yes — those activities always display an Enroll button and enroll the student directly in TopClass, even if an External ID and External Source are configured.
    • Tax Country – Select the country (and state, if applicable) representing the location of the TopClass server.
    • Tax State – Used when sales tax is based on the fixed location of the TopClass server.
    • General Categories Available for Partitions – Enable to allow partition admins to add activities to the catalog categories from both their own partition and the general partition.
    • Hits per page – Required. Number of search results to display per page.
    • ILT Session First Reminder Days – Required. Number of days before ILT Session start date to trigger a reminder.
    • ILT Session Second Reminder Hours – Required. Hours before ILT Session start time to trigger a reminder.
    • ILT Session Reminder Links – Show event reminder links for ILT sessions.
    • ILTSessionsToLoad – Required. Number of ILT sessions to load (limits catalog load).
    • Limit catalog to authenticated users – Select whether the catalog is only accessible to authenticated TopClass users.
    • Offering default disable approval – Select whether approval requirements are disabled or enabled by default for new offerings.
    • Offering default group approver – Default value for the pool group field in the offering approval section.
    • Offering default hide from catalog – Select if activities should be hidden from all users by default.
    • Offering default hide from anonymous users – Select if activities are hidden from anonymous users by default.
    • Offering default named approver – Default TopClass user set as named approver.
    • Offering default needs manager approval – Select if enrollments require manager approval by default.
    • OfferingDefaultRegisterInterest – Enables default register-interest behavior for offerings.
    • Purchase For Others – Select whether users can purchase offerings for other users when eCommerce is configured.
    • Allow Purchase of General Credit – Allow the purchase of General Credit in the catalog.
    • Toggle Catalog Offering Indexing – Turns catalog offering indexing on/off.
    • Rebuild key dictionary – Deletes and rebuilds the key index from scratch.
    • Self Registration approver user – Specify the TopClass user who can approve self-registrations.
    • Self Registration Default Group – Automatically add self-registering users to this group unless overridden by URL parameter.
    • Self Registration needs approval – Select whether approval is required for self-registration.
    • Self Registration Group selection – Show group selection on the self-registration form.
    • Self Registration Group Format – Choose how groups are displayed. Group Tree shows all groups to the user.
    • Self Registration Terms & Conditions – Specify the Terms & Conditions displayed on self-registration (max 4000 characters).
    • Shipping Fees – Options for calculating shipping fees (Manual per item, Calculated by weight/destination, or Flat-rate carrier-based).
    • Stale Shopping Cart Days – Required. Number of days unused items remain in shopping carts before being cleared.
    • Topics support – Select whether ILT session names can be assigned.
    • Use purchaser for pricing – Base pricing on the purchaser when buying for others/employees.
    • Enable Wishlist functionality – Allow users to add activities to a wishlist; admins can enroll users from their wishlist.
    • Zero cost offering – Choose whether users are prompted to Purchase or Enroll for free activities. If External Catalog Redirect and External Catalog Free Activities Enrollment are both set to Yes, free activities will always display Enroll and bypass this setting, since the free-activity override takes precedence over the redirect.
